Android Software For
Monitoring of Letter Boxes

The software is aimed at monitoring the clearance of letter boxes planted at various
locations attached to Post Offices.

This software also facilitates the members of
public to know the status of the letter clearance which is posted in a particular letter box.

software also provides MIS to the Divisional heads to know the volume of letters posted in a letter box and thereby to rationalize the LBs. Further, to monitor whether any letter box has been cleared or not.

1.1. Indexing Letter Boxes

For identifying each letter box a unique number to each letter box has been
provided.

Sample pattern suggested for Unique number.

1.PIN code (6digits) + ND code(2digits) + Block allotted for each Division(4digits)
e.g; 500001000001 (12 digits)

1.2. Generation of Bar code

A Bar code has been generated for the unique number. This Bar code has been
printed on the back side of the door of letter box to capture the details.

2.1. Salient Features

A software called Nanyatha was developed using Android operating system. This
application helps in uploading the data about the location of the LB, date and time of clearance, Number of letters and the person who has cleared to the web MIS having the address

When the barcode is scanned using a smart
phone. Public members can go to this website and type the location of the LB in the text box provided. Immediate information about date and time of clearance will be displayed. For postal administrators each division has been given a log in and password for entering into the website and see MIS details which comprises of the
name of the PO and LB clearance under it’s jurisdiction.

2.2 Software Requirements

• Android based software to scan the Bar code.

• Android based application to transmit opening details to the central server Back End-SQL Lite

2.3 Hardware Requirements

• Android Handsets with OS version above 2.0
• Central Server

2.4 Database

SQL Server with master data of LB details with clearance details will be stored. Here
for the first time any PRI has to collect the GPS coordinates of all LBs and to prepare
the master data with location details.

2.5 Work Flow

LB clearance attendant after opening the LB has to scan the Bar code through the
hand set by using the installed android application. The details of LB and date and
time of LB clearance will be sent to Central server through GPRS facility. The central
server validates the GPS coordinates of the LB and accepts the date and time of
clearance and generates MIS respectively.

2.6 Reports

Web based MIS to be provided with various access levels as CO/RO/DO/PO.

1) List of LBs with last date and time of opening against to the due date and time
2) No of letters posted in each LB
3) List of LBs not cleared for many days
4) List of LBs with less no of traffic
5) Google Map based LB identification and clearance MIS to public

2.7 Security Aspects

1) To ensure that the LB attendant has opened the exact letter box the GPS
coordinates of the LB are being captured automatically from the device. The
coordinates passed from the device and the the coordinates of the master
data are tallied for accepting the LB clearance.
2) The Barcode stickers are affixed inside the LB doors to ensure that the
scanning happens only when the letter box is opened
3) The master data can also prescribe the due time of opening of LB so as to
monitor the time deviation of LB clearance from the prescribed time.
